AUArts webService and Your Privacy

AUArts takes the utmost care to protect your personal privacy.

AUArts webService uses SSL 128-bit encryption and information is only displayed to the unique individual who is logged in.

If same user has tried unsuccessfully to login with three times in a row, that user will be blocked. You will need to have your PIN reset by contacting the Registrar's Office at 403-284-7634.

Once you are finished your session on AUArts webService, press the Exit button and close your browser.

User Login

Enter your User ID

Your User ID is your nine digit AUArts student number. You must include the preceding zeros, e.g. 000123456.

Enter your 6 digit Personal Identification Number (PIN) .

    If you have never logged into AUArts webService before, your initial PIN is your birthday in the format DDMMYY (e.g. 010282 for February 1, 1982). You will be required to change your PIN once you login

    If you have logged in to AUArts webService before, use the PIN you created on your first visit to AUArts webService

If you have forgotten your PIN or if your PIN has been disabled, please call 403-338-5555 during office hours or email webservice@auarts.ca anytime. (Emails sent after office hours will be answered the next business day.)

When finished, select Login

The Personal Information Menu

Change your PIN

Note: If you are logging in for the first time you will be automatically directed to change your PIN.

  • Enter your old PIN and your new PIN. Your PIN must be 6 characters in length and consist only of numbers (0-9).
  • Then re-enter your new PIN again for verification.
  • When finished, click Change PIN.

Change your Security Question

Note: If you are logging in for the first time you will be automatically directed enter a Security Question.

If you forget your PIN click the Forgot PIN? button on the User Login page. If you can correctly answer your security question AUArts webService will display your current PIN.

Enter a security question that only you will know the answer to.

View Address(es) and Phone(s)

Your active addresses are displayed in order by address type. Your permanent address is your permanent home. If your permanent address is not in Calgary you will also have a mailing address where we will send your mail for the dates you specify.

If any of these addresses are incorrect or you have moved, please contact the Registrar's Office at 403.284.7634

It is your responsibility to ensure your address information is correct. The university takes no responsibility for difficulties resulting from documents being mailed to the wrong address.

Update Email Address

To update an existing e-mail address, click the e-mail address.

To insert a new e-mail address, click the Insert button.

Student Services and Financial Aid Menu

Registration

Once you are logged in to AUArts webService, click the Student Services and Financial Aid link to get to the Registration Menu.

Registration Access Prevented

If you access the Add/Drop Classes option before your initial access time access date you will receive an error message. Check your initial access time in your registration package or on the AUArts webService information page

You will also be prevented from registering if you have not paid your confirmation fee or have holds on your record.

Select Term

  • Click the Select Term option on the Registration Menu.
  • Select the registration term in the drop down box.
  • Click the Submit Term button.
  • You will return to the Registration Menu.

Adding a Class (if the class CRN is known)

  • Click the Add/Drop Classes option on the Registration Menu.
  • If a registration term was not selected before choosing this menu option, the Select Term page will appear. Select a term as described in the Select Term section above. Once a term is selected properly, the Add/Drop Classes page will appear.
  • Enter the CRNs (Course Reference Numbers) in the Add Class table for the course.
  • You may register for multiple courses in one transaction.
  • Click the Submit Changes button.

You are now registered for classes listed "web registered".

Click the Back to Registration Menu link to perform more registration functions.

Your classes will appear in the Current Schedule section of the Add/Drop Classes page.

Look-Up Classes to Add (if the class CRN is not known)

  • Choose any combination of fields to narrow your search, but you must select at least one Subject.
  • Multiple selections can be made in the scroll boxes.
  • Click the Get Classes button

You may wish to refer to the complete course timetable on the AUArts website.

Look Up Results

These are the classes that met your search criteria.

If the class has a box in front of the CRN, the class can be selected by clicking the box. If the class has a C in front of the CRN, the class is full and cannot be selected. If there is neither a box nor a C in front of the CRN, you are already registered in the class, or you have accessed this page outside of your assigned registration access time.

You can select multiple classes. When selecting a class, ensure you select the studio and corresponding lecture (if applicable) at the same time. Check the online course timetable for this information.

  • Click the Register button to register the classes immediately and return to the Add/Drop Classes page.
  • Click the Add To Worksheet button to add the classes to the Add Class table on the Add/Drop Classes page, and continue searching or entering classes.
  • Click the Class Search button to search again.

Dropping a Class

  • Click the Add/Drop Classes option on the Registration Menu.
  • If a registration term was not selected before choosing this menu option, the Select Term page will appear. Select a term as described in the Select Term section above. Once a term is selected properly, the Add/Drop Classes page will appear.
  • Go to the Current Schedule section.
  • Select the Web Drop option in the Action drop down box. If no options are listed in the Action drop down box, then the class may not be dropped. You cannot drop after the drop date.
  • Click on the Submit Changes button.

You are now registered for classes listed "web registered".

Click the Back to Registration Menu link to perform more registration functions.

Request a Class

  • In order to measure demand for popular classes please email registrar@auarts.ca with your student_id and name (for identification) along with the course and section that you wish to register for (e.g. AUArts 400 section A).
  • Please list the reason why you were unable to register (e.g. section full, or day/time would not fit into your schedule).
  • It is a possibility that additional sections will be opened based on email received from AUArts students. You will be contacted in such cases.

Registration Error Messages

Closed This class is full you must wait until someone drops this class or get special permission* from the instructor (or Program Head if applicable) to enrol.
Degree/Program/Major Restriction This course is reserved for students in a specific program of study. You may be able to register for this course once the reserved seats are released on July 28, at 9:00 am.
Duplicate CRN You have chosen a class that you are already enrolled in.
Link Errors If you receive a Link Error you have attempted to enrol in a studio class without the corresponding lecture. Check your schedule of classes and your program plan.

Note: Dropping one linked classes will automatically drop the other classes linked to it.

Maximum Hours Exceeded Students are not to exceed 18 credit units of registrations per semester. You must get permission from your Program Head to register for more than 36 credits per year.
Time Conflict with CRN XXXX The class with the error message overlaps by day &/or time with the class indicated. You must choose a different section of this class or a different class altogether.
Prerequisite Error You attempted to register for a class for which you do not have the required prerequisite(s).You must get special permission* from the instructor (or Program Head if applicable) to enrol.
Co-requisite Error You attempted to register in one co-requisite class without the other. Check your schedule of classes and program plan.
Repeat Hours

Exceeded

You attempted to register for a course which you have already completed
Instructor Approval Error You attempted to register in a class that requires instructor approval, you must get special permission* from the instructor (or Program Head if applicable) to enrol.

* Special Permission You will need to obtain the instructors signature on an add form (or in the case of AUArts 400 on a separate registration form) during the first week of classes. Forms may be picked up at the Registrar's Office.

Note: If you exit without resolving registration errors, you will NOT be registered in the courses selected.

Student Records

View Holds

Any holds on your student record will be displayed on this page. You must clear your holds before you will be allowed to register, view your grades, or receive a transcript. Contact the Registrar's Office at 403.284.7634 during regular business hours to obtain the procedures for clearing holds.

Final Grades

To view your grades

  • Select Student Services and Financial Aid
  • Select Student Records
  • Select Final Grades and choose the correct term from the drop down menu and press the Display Grades button.

You may print your grades using the regular browser print options. It is recommended to use the "Landscape" page orientation for the page to print correctly.

If your AUArtsemic standing does not indicate "Clear Standing", you will receive a letter from the Registrar regarding your status at the university.

Contact the Registrar's Office at 403.284.7634 during regular business hours if your G.P.A. or any of your grades are incorrect.

Canadian Tax Forms

Viewing your T2202

  • Select Student Services and Financial Aid.
  • Select Canadian Tax Forms.
  • Select T2202 Tax Credit Form.

Two options will be available:

View Data - This is not an official receipt and is for information purposes only.

Printable Form -This is the official receipt. Make this selection only if you are ready to print the receipt.

To Print your T2202

  • Select Printable Form. Click Submit.

Note: If you select continue this will mark your taxation record as printed. If not printed at this time, any subsequent receipts will be marked Duplicate.

  • Select Continue.
  • Select Print on browser menu.
